5 Phases To Ensure A Success Implementation
Signature Methodology
We use our version of the Epicor Signature Methodology that we tweaked to ensure success. Here are two key differences:
- We help your executive team define SME (Subject Matter Experts) for each department.
- We help define KPIs and recommend out of the box Epicor quote-to-cash standard business processes where possible.
SME (Subject matter expert)
SMEs is someone who is a leader of their department and understand all related business processes
SME's are identified by the Executive team and are assigned the following responsibilities for their department:
- Required to be in all implementation phase meetings
- Owner of all documentation (Business Process Mappings and End User Procedures)
- Provide training for onboarding new hires
- First responders for how to issues
SME's play a critical role in a successful implementation. We have all SME's in the room when we are discussing a business process. What we mean by all is not only the person who owns the business process but the SME's related to the downstream and upstream processes related to the business process we are discussing.

We changed the name of this phase to the Discovery Phase. that's what we do a deep dive into understanding your business. Ludwig Solutions Consultants work with your Subject Matter Experts to map all current quote-to-cash business processes. We create end-user process documentation to record any current KPIs and business processes. All of this preparation shows we are listening closely to understand how your business operates. Gathering this information is critical and will be used during the planning phase to ensure software functionality and implementation perspectives are achievable.

The Planning Phase is where we install Epicor's 4 environments. Discuss standard business functionality of Epicor and how it relates to all documentation developed from the Discovery Phase. We define new Epicor Quote-To-Cash business processes.
If the standard Epicor functionality doesn't accommodate your unique business process, we create a design specification document that outlines the required changes.
All new Epicor EUPs(End-User-Procedures) are created.

The Design Phase is where all the magic takes place. We configure the Pilot environment will all the items needed to support the Epicor EUPs created in Phase 2. For anything that needs to be designed, our development team creates all personalizations. SSRS forms, and maps database conversion from current systems to Epicor.
Our project managers work closely with the SME and our development team to ensure all design specs are correctly executed. We have a proven data migration strategy that is outlined during this phase.

Our project manager works with the SME to validate everything created during the design phase. Test data migration steps, install hardware if required, and SME sign-off on all end-user training documentation.

We do multiple CRPs(Conference Room Pilot) using a value stream script to track all progress. We are onsite working with the SME. We take an onsite approach during critical steps of each phase and stay onsite two weeks after the implementation is complete to resolve any issues that arise.
